Timetable
RegistrationRegistration for Congress delegates is now open Online registration is available and delegates are encouraged to use on-line registration whenever possible. Delegates can register online by going to: https://asp.artegis.com/servlet/asm/Login Login: UCUCONGRESS2010 Note: a separate online registration form exists for members who are attending in a capacity other than that of branch or regional committee delegate (such as NEC members, trustees, delegates or observers from other national committees). These members will be contacted directly with alternative log-in details. If you require further information please contact Sue Moss. Branches also register delegates - please ensure that all the required details are obtained in order to complete the registration. Delegates will receive email confirmation to say that their registration has been received, and branch secretaries will receive confirmation of registrations made by their delegates. The deadline for registration is 30 April 2010. Please give clear details on the registration form if you have any particular dietary or access requirements. Once registered, if delegates are unable to attend, individuals or LA/branch secretaries are asked to cancel registration, by notifying Sue Moss. Observers Applications can be made for observer places at Congress. The number of observers is limited by the capacity of the venue and the funds available for meeting the expenses of observers. Applications need to be made by a separate registration form which is available from Sue Moss. Forms need to be sent back no later than 30 April 2010. Applicants will be contacted 2-3 weeks before Congress to confirm whether a place as an observer can be offered to them. Where applications are made by branches that hold significant local funds, branches may be asked to meet their observers' expenses. See UCU234 below for further information. Delegation entitlements For institutions with over 100 members, entitlement to delegates at congress is based on 1 delegate per 400 members (or part thereof) in an institution. (Where there is more than one branch in an institution, this number refers to the members in all branches in that institution.) This is based on the membership census date of 1 December 2009. A full table of delegate entitlement by institution is available here: Conference delegate entitlements Institutions with fewer than 100 members must form aggregations of small branches. Each aggregation must total at least 100 members, and has the right to send a delegate to congress. Most small branches were placed into such aggregations prior to UCU's Congress meeting in 2009. UCU's regional offices are now contacting branches where these aggregations need to change (due to changes in membership numbers) or where an aggregation was not achieved. AccommodationAll accommodation will be booked by UCU for delegates on bed and breakfast basis. Delegates will be asked to indicate their requirement for accommodation when they register to attend Congress, and no further action is required from delegates or branches to book accommodation. Delegates' hotels will be confirmed to them ahead of the Congress event. If you have not received confirmation a few weeks after your registration please contact Sue Moss. Hotels will usually request credit card details on arrival. This is the usual practice of many hotels as you will be charged for any extra costs incurred during your stay (eg newspapers/phone calls etc). Any hotel extras should be settled by delegates prior to departure and if not, will be invoiced to delegates by the hotel. See UCU234 below for further information. Expenses including travelLunch will be provided for all delegates at the Congress venue. Evening meals (other than the Monday evening Congress dinner) will need to be paid for by delegates and claimed back after Congress. Reasonable travel and subsistence expenses will be paid to cover costs necessarily incurred in attending Congress, including delegates' travel from work or home addresses within the UK, the Channel Islands and the Isle of Man. These expenses will be met centrally by UCU. An expenses claim form specific to Congress will be made available to delegates. Hotel accommodation for delegates will be paid for directly by UCU on a bed and breakfast basis; other necessary subsistence costs (such as evening meals) will be reimbursed to delegates in accordance with the expense claim form. Delegates should keep supporting receipts to submit when claiming travel expenses. See UCU234 below for further information. Childcare facilitiesA crèche/kid's club will be provided during the hours of Congress Business and official fringe meetings, and there will be no charge for this facility. Please indicate on the registration form if you require this service, and the relevant forms will be sent out to you. Please make sure that we are notified of your requirements by the deadline of 30 April 2010. Alternatively, members may claim a dependants' allowance to cover additional care expenses incurred directly in relation to attendance at Congress. Details of the scheme are available upon request from the Sue Moss. Fringe and social eventsA welcome reception will take place on the evening of Saturday 29 May from 18:30 at the People's History Museum. Delegates are must register for this reception in advance. A Congress dinner will take place on Monday 28 May at the Hilton Hotel and all delegates are welcome to attend, however, delegates must register for this dinner in advance, as explained on the Congress registration form. Delegates may bring their partners, but there will be a charge for this. Fringe meetings will take place at lunchtimes and immediately after the close of Congress business, and a programme of official fringe meetings will be issued in due course. MotionsAll motions must be submitted by the deadline of 12 NOON on FRIDAY 19 MARCH 2010.
